WP-101 (260-3970) Working With Files Faxback Doc. # 5191 FILE ISSUES After creating a document, you can keep a copy of your text, including its format, even after you clear it from the work memory or turn off the WP- 101. Later you can recall the text for printing or editing. You can also change the name of your document, or you can delete it from storage when you no longer want to keep it. Refer to this section for more information on file storage. CLEAR TEXT IN WORK MEMORY If you want to save the text in the work memory before you clear it, see "Save a Document." Press MENU to display the menu screen. Press 4. The clear text screen ap- pears and asks if you really want to clear the text from the work memory. Press Y to clear the text from the work memory. Press N to prevent clear- ing the text in the work memory. After you press either of these keys, the menu returns to the screen. All settings return to the default settings, except spell word; it stays active until you manually turn it off. NOTE: You might want to store a frequently-used page format and recall it for new text after you clear the original text from the work memory. See "Store a Format." COPY A FILE FROM ON MEMORY TO ANOTHER To copy a file from built-in memory to card memory: 1. At the store memory selection window in the menu display, select Built-in as the source memory. 2. Press 5 to recall the file to copy. (Be sure to first clear any text in the working memory.) 3. Press MENU and select Card as the destination memory. 4. Press 3. Type the name of the file you are copying. Then, press [RETURN] to save the file. To copy a file from card memory to built-in memory, follow this same pro- cedure but select Card as the source memory and Built-in as the destination memory. For more information, see "Select Store Memory," "Recall a File," and "Save a Document." CREATE TEXT Press 1 to create a new document. The text screen appears with the cursor in the first position and the format line at the top of the page. If there is already a document in the work memory, you can return to that document from the menu screen by pressing 1. If you want to clear the text in the work memory so that you can create new text, press 4. Any time you need to return to the menu, press MENU. DELETE A FILE You can delete any file from the store memory. Press MENU to display the menu screen. Select the store memory--built-in memory or card memory--where you can find the unwanted file. Press 6. The delete file screen appears. Move the cursor to the file name you want to delete and press [RETURN] the selected file name appears beside DELETE FILE. The next message that ap- pears asks you to be sure you really want to delete the file. Press Y to delete the file. Press N to cancel the delete function. After you press either of these keys, the menu returns to the screen. MERGE A FILE To merge a file form store memory into the text that is currently in the work memory, see "Retrieve a File and Insert into Current Text." RECALL A FILE Before text in the store memory can be edited or printed, recall the file from store memory into the word memory. Press MENU to display the menu screen. Select the store memory--built-in memory or card memory--where you can find the desired file. Press 5. The recall file screen appears. Move the cursor to the file name you want to recall and press [RETURN]. If there is already text in the work memory, the WP-101 asks you if you want to clear the current document. Press [RETURN] to clear the text and recall the file from store memory. Press INSERT to recall the file form the store memory and insert it into the current document. (To find out more about merging files, see "Retrieve a File and Insert into Current Text.") When the recall function is complete, the text screen appears automati- cally, with the cursor in the first position of the recalled text. If you cleared the current document before recalling the file, the recalled text keeps its own page format. However, if the recalled file was inserted into the current document, the recalled text changes to fit the current document's page format. RECALL A FORMAT If you have stored a frequently-used page format as a format file, you can recall this format for creating a new document in the work memory. Press MENU to display the menu screen. Select the store memory--built-in memory or card memory--where you can find the desired file. Press 5. The recall file screen appears. Move the cursor to the file name you want to recall and press [RETURN]. If there is already text in the work memory, the WP-101 asks you if you want to clear the current document. Press [RETURN] to clear the text and recall the file from store memory. NOTE: You can not change the text format by inserting a format file into an existing document. Any file that you recall changes to fit the current document's page format. Therefore, inserting a format file into existing text would be like inserting nothing at all. After you type text in the recalled format and you are ready to store it, change the file name of the document. If you do this, the format file remains unchanged in the store memory and you can use it for another file later. RENAME A FILE You can change the name of a file in the store memory. Press MENU to display the menu screen. Select the store memory--built-in or card memory or card memory--where you can find the desired file. Press 7. The rename file screen appears. Type the old file name. Or, if you prefer, you can press [up arrow] to move the cursor to the directory. Move the cursor to the file name you want to rename and press [RETURN]. The file name you selected appears beside OLD FILE NAME: Press [RETURN]. The cursor moves to the NEW FILE NAME: line. Type the new file name. The name can contain up to 8 characters. Press [RETURN] to rename the file. The menu returns to the screen. RETRIEVE A FILE AND INSERT INTO CURRENT TEXT You can retrieve a file from the store memory and insert it at any posi- tion in the current document in the work memory. If you store a repeated phrase as a separate file, you can recall it as many times as you want. Move the cursor to the position in the text where you want to insert the file. Press MENU to display the menu screen. Select the store memory -built- in or card memory--where you can find the desired file. Press 5. The recall file screen appears. Move the cursor to the file name you want to recall and press [RETURN]. Then press INSERT. The file is inserted at the position you selected. When the recall function is complete, the text screen appears automati- cally, with the cursor in the first position of the recalled text. The recal- led text changes its format to fit the current document's page format. SAVE A DOCUMENT Press MENU to display the menu screen. Select the store memory built-in memory or card memory where you want to store the current document. Press 3. The store text screen appears. Type the file name for the text you want to save. The name can contain up to 8 characters, including spaces. Press [RETURN] to begin storing the file. After the store function is complete, the menu returns to the screen. If the text file currently in the work memory was originally recalled from the store memory, the name of that file automatically appears beside ENTER FILE NAME: when you try to store the file again. You can type a new file name and press [RETURN] to begin storing the file. Or, you can simply press [RETURN] and the WP-101 will ask you if you want to overwrite the orig- inal file in the store memory. Press Y to begin storing the file. Press N to cancel the store function and return to the menu. If you want to overwrite one of the other files in the store memory, at the ENTER FILE NAME: prompt press [up arrow] to move the cursor to the direc- tory. Move the cursor to the file name you want to overwrite and press [RETURN]. That file name appears beside the ENTER FILE NAME: prompt. Press [RETURN] again and the WP-101 will ask you if you want to overwrite that or- iginal file in the store memory. Press Y to begin storing the file. Press N to cancel the store function and return to the menu. To create a new file after storing text to the store memory, press MENU to display the menu screen. Then, press 4 to clear text from the work memory. CAUTION: Never turn off the word processor or remove the card from the card slot while the WP-101 is saving a file. (css-08/04/93)
