Fax/Modem Software Quick Start Reference Faxback Doc. # 5210 GETTING STARTED This section of the manual will get you ready to send your first fax. You will walk through the initial setup procedures needed before you can use ExpressFax. Hardware There are a few things that must be done before you can Setup begin working with any telecommunications software. The first thing is to properly install your fax/data modem. This could be as simple as plugging an external modem into an existing serial port, or installing a plug-in card in your computer. In either case, refer to the hardware manufacturer's instructions for the correct installation information. Be sure that the modem is an external modem it will probably have to be connected to a power supply. Software At this point you should have already installed MTEZ and Setup the ExpressFax module. When you followed the MTEZ installation section in the MTEZ manual, or the installation sheet included by the modem manufacturer, you loaded the necessary files from the MTEZ distribution diskette onto your computer. Before any faxing can happen, you must run the CAS Setup Utility, and the CAS resident manager TSR (FAXMAN) must be executed into RAM. When you installed the MTEZ with ExpressFax diskette, the installation process automatically had you run the CAS Setup Utility. If you haven't run the CAS Setup Utility simply type: C:\MTEZ>SETUP [ENTER] When you run through the CAS Setup Utility during the initial installation of MTEZ with ExpressFax, FAXMAN is automatically executed into RAM. When you run SETUP at a time other than the initial installation of MTEZ with ExpressFax diskette, FAXMAN needs to be removed and reinstalled manually. C:\MTEZ>FAXMAN /R [ENTER] C:\MTEZ>FAXMAN [ENTER] After these two steps are completed, the TSR (FAXMAN) is started and you are ready to configure ExpressFax. Execute MTEZ. From the MTEZ menu system select ExpFax (or press [Alt]-[F] from the MTEZ terminal mode). You will begin to enter the ExpressFax Operations Menu, but since this is the first time you have run ExpressFax, you are automatically taken into the Configure ExpressFax option. See section 14 entitled "ExpressFax Configuration" for complete details, but for the purpose of this chapter simply fill in your Company Name and voice telephone number. At the bottom of this page, you can specify your printer port, and you can select your printer from the list of available printer drivers. The rest of the options on this page can be customized later. Press [F10] to go to the ExpressFax Operations Menu. Starting the The whole FAXMAN startup and entry into the fax portion of FAX only ExpressFax can be done directly by using a stand-alone utility which is included in the MTEZ with ExpressFax diskette. C:\MTEZ>FAX [ENTER] The above example performs the same task as starting up FAXMAN, running MTEZ, and pressing [Alt]-[F]. Setup Hints ExpressFax is going to make a few temporary files during normal operation. You can specify where these temporary files are going to be made by creating a DOS environment variable named TEMP. If no TEMP variable is set, the MTEZ directory is used. See your DOS manual for information on how to set and change environment variables. You may also want to refer to Section 2 Installation of your MTEZ users manual for information on TEMP. EMS Memory The CAS resident manager can be configured to use EMS memory if it is available. From the CAS Setup utility, you can specify the CAS manager to use EMS if it is available. The CAS manager can use as little as 15K of conventional memory if there is 48K of EMS memory available. Otherwise, the CAS resident manager will take up to 54K of conventional memory. EXPRESSFAX MENU When you select "ExpFax" from the MTEZ main menu, or you press the [Alt]- [F] combination, the operations menu for ExpressFax appears. This section of the manual is an overview of each item on the menu. Later in this manual each of the items within this menu have a section covering its operation. The operations menu is split up into 2 sections, the left side is the option selection window. By pressing cursor up and down, then pressing [ENTER] (or by pressing the first letter of the option) you enter the specified option. The right window shows an overview of the current activity within the CAS environment. The number of pending events (events scheduled to occur sometime in the future), and the time and date of the next event is displayed at the top of the window. Next, the total number of unread received faxes is shown. The status area gives you a general idea about what the CAS manager is currently doing, statuses range from Idle to Dialing to Sending a Page. ExpressFax This selection allows you to compose and send a complete Note fax from within MTEZ. There is no need to leave MTEZ to create a fax. Whenever you need to fax a quick note you can use the "ExpressFax a Note" option. You can even include your letterhead and signature on the fax you send. Send Fax This menu item is used when you want to send a fax from Document(s) information that already exists. These files can be EXP, TIFF, PCX, DCX, ASCII text, and Epson FX-85 redirected output. Printer output can be saved directly into a file by using the POPPRINT utility, which is described later in this manual. Received Faxes This selection allows you to manage all received faxes. From this menu you can scroll through all the available received faxes. Once you have selected a fax, you can view, print, move, or delete the fax. Log of Events This section gives you a log of all send and receive fax events that have occurred with the CAS resident manger. The log lists the time, duration, and destination of all faxes sent. If a fax transmission failed for some reason, you can resend the fax directly from the log manager. Pending Events This menu choice allows you to see events that have not occurred yet. You can schedule a fax to be processed at anytime day or night, this menu will let you manage those events. From the Pending Events menu you can reschedule, redirect and delete events that are waiting to be processed. File Conversion This function allows you to convert a file or group of files to the fax format for later use. The output from this function is a file with the .EXP extension. View/Print Before you send a fax it can be previewed to show the a Fax output as it will be received. Some uses for this function are looking at how the letterhead and signature merge is going to work or for looking at multi-page and multi-file faxes before they are sent. (This option is also available before sending a fax from the ExpressFax a Note and the Send Fax Document(s) options). Hardware The Hardware Status function gives you a complete Status description of what is happening in the CAS manager. Configure This option allows you to set the defaults for the ExpressFax operation of the fax module. You are able to set information like your name, fax number and other technical options. This option, used in conjunction with the CAS setup utility (see also the section on the Setup Utility), allows you to completely control all aspects of the FAX operations. EXPRESSFAX A NOTE In this section of the manual you will learn how to send your first fax using the "ExpressFax a Note" option. This is the easiest way to send a note via fax, because the text is created without leaving ExpressFax. You can even tell ExpressFax to include your letterhead and signature on the note. Before you use ExpressFax be sure FAXMAN is loaded either from your AUTOEXEC.BAT or manually (C:\MTEZ>FAXMAN [ENTER]). You should now run the MTEZ program. From the main menu select the ExpressFax item, or use the [Alt]-[F] combination to go into ExpressFax from the MTEZ terminal mode. MTEZ will display the ExpressFax operations menu. For this example press [E] to select "ExpressFax a Note". The first thing that ExpressFax will ask for is a telephone number to call. You can either enter the phone number directly, use [F4] to access the dialing directory (Section 15), or use [F5] to select a group (Section 17) to call. To dial a fax call manually, or send a fax on the current connection, enter a single ! character for the telephone number. You can either specify a filename where your text will be saved, or you can leave the name blank and a temporary file will be used and deleted after the fax has been sent. If you want to save a copy of your FAX text to use later, you should specify a filename. For the purpose of this example enter a filename and press [ENTER]. ExpressFax allows you to select a different template (or coverpage) with each fax. Available templates range from plain to comical. You decide which you are going to use. See chapter on Fax Templates for more information. Press [ENTER] to accept the EXPRESS template. The editor specified in the main MTEZ package is used to edit the specified file (see the ALT-S General Setup section of the MTEZ main manual for details about the editor selection). Enter the text of the fax at the specified location. When you are finished entering your fax message, you can exit the editor and get ready to send the fax. NOTE: In the editor you will see a text rows [] pairs and various commands, for now just fill in the text area in the middle of the screen. The fax macro control commands are discussed in Section 21 of this manual. The MTEZ editor is used in the above example. The cursor is moved to the row where information is supposed to be entered. Once you have entered some sample text, press [Alt]-[X] to exit and the file. At this point you have already specified a fax phone number, and selected and edited a text file. Now you are given a choice to view the fax as it would be sent, go back into the editor to revise the text of the fax message, or send the fax. Press [V] to view the fax, [R] to revise the fax, [C] to change the information screen, [S] to schedule the time and date to send the fax, or press [F10] to send your fax. When you press [F10] to send the fax, a conversion display will appear. The CAS manager (FAXMAN) will place the call and send the fax in the background. When the call is complete, or if it fails, a log entry will be written. See the "Log File Maintenance" Section 8 for more information about the log. You have now completed sending your first fax with the ExpressFax program. In order to send existing documents such as word processor output or spreadsheet output, see the Send Fax Documents Section 7 of the manual. The remaining sections of this manual describe the functionality of ExpressFax in greater detail. SCHEDULE A FAX Prior to actually sending a fax, you are given the choice of either sending the fax immediately or scheduling the fax to be processed at a later time or date. By pressing [S] from the "Ready to Send This Fax" menu, you are taken to the following screen. By pressing the space bar, some pre-specified times and a user selectable time are shown. The pre-specified times are layed out as Now (immediate), Tonight at Midnight, Tonight at 2am, In 1 hour, In 15 minutes, and In 5 minutes. If User Specified is selected in the When: position, you press [Tab] to edit the time and date fields. The user selectable time can be specified in HH:MM (military or AM/PM), and the date is specified in MM:DD:YY. Pressing [F10] will return you to the main schedule selection bar. Once you have selected the time/date when you want your fax to be sent, you can complete the scheduling by pressing [F10]. SEND FAX DOCUMENT(S) Many times you will already have saved your printer output to a file, which was produced by a word processor or some other program, that you want to send as a fax. The printed output must either be in an Epson FX-85 format, or a straight ASCII format. This can be done by using the Send Fax Document(s) section of ExpressFax. From the main MTEZ menu select ExpressFax using [Alt]-[F] combination, this brings up the fax menu. Then select "Send Fax Document(s)" by pressing [S]. Like the "ExpressFax a Note" option, the first thing you will be asked for is whom to send the fax to. You can either enter the phone number directly, use [F4] to access the dialing directory, or use [F5] to select a call group. Remember you need to include the area code in the phone number (for example: 708 555 1111). Now you can select the file or files you wish to send by cursoring to them and pressing [Space] to select multiple files or [ENTER] to select a single file. See the file selection screen section for more information. After completing the file selection, you are given a choice to view the fax, go back into file selection menu, schedule the fax time and date, change the cover page information, or send the fax. On the Change Fax Information option, you can select whether a cover page will be automatically generated, change the resolution of the fax to be sent, change the signature and letterhead to be used on this fax, specify the name, company name, and add remark for the cover page. LOG FILE MAINTENANCE With the "Log File Maintenance" menu, you have complete control over the log. A line of status information will be displayed for each fax sent or received. The following list described the fax log controls. View/Print fax This function is used to view a fax that was not sent. This is useful in determining whether you want to resend the failed fax. To view a received fax, you must make sure that you are in the Received Events editor. Clear Errors By pressing the [E] you will clear all the log entries for faxes that were unsuccessful. The file that contains the problem fax will also be deleted. Print Log The [P] is used to print the log listing on your printer. Clear Log The [C] is used to clear the log file of all entries and any associated files. Retry Send If the fax transmission was unsuccessful, you may use the [R] to resend the original fax. This option allows you to reselect the destination telephone number, and the time and date of the rescheduled fax transmission. Delete Entry You may delete individual log entries by selecting the entry and pressing the [Del]. Detail Additional information for an entry can be obtained by moving the cursor to select the desired line, and then press [D]. This will give a full display, as is shown below. RECEIVED FAXES The Received Faxes function has the same capabilities as the regular log file maintenance program, except the events being viewed are the faxes that have been received by your machine. From this option, you can: View/Print a received fax, Delete a received Fax, and even Move a received fax to another drive, path, and filename. Received faxes are converted into a DCX format, as specified in the CAS document. Once the files are moved, they can be viewed and used directly by the ExpressFax module. Entries prefixed with an "*" are unread received faxes. Once the event has been viewed or moved, the "*" is cleared. Fax Conversion Received faxes can be converted into a DCX file format by using the [M] Move option. If you wish to send a received fax without any changes, you can use the [F] Forward option. Received faxes are graphics images of whatever was sent to your computer, and they can not be directly edited or adjusted except by using a graphics (or paint) program. Current Connection To receive a fax on the current connection, you can press [Ctrl]- [Alt]-[A]. This will cause the FAX card to pick up the phone line and begin attempting to receive a FAX regardless of whether it was ringing or not. NOTE: You can NOT receive a fax if you are in the MTEZ terminal mode. you can receive while you are in almost any other program. PENDING EVENTS The Pending Events section of ExpressFax is used to see a schedule of outgoing faxes that are supposed to happen at some time in the future. The Pending Event manager allows you to View/Print a fax that is scheduled for transmission, Reschedule or redirect a fax before sending, or delete the event before it can occur. To delete an individual event, you can cursor the highlighted bar over the event and press [Del]. FILE CONVERSION The file conversion routings take various types of files and convert them into fax format before sending. The conversion routine can take in files in the following file formats: ASCII This file contains just ASCII text and IBM character graphics codes. EPSON This file contains ASCII text and IBM character graphics codes. It may also contain EPSON printer commands such as bold or underline. PCX This is a graphics file format that is used by many popular graphics programs. DCX This is the multiple page document format of PCX. TIFF This format is used by many page and hand scanners for output, it is also used by PageMaker. EXP This is the fax file format used by ExpressFax to store information before being sent. NOTE: ExpressFax calls the conversion routine automatically when sending a fax. The "File Conversion" option is provided as you may have the need to pre-convert your files. The conversion process consists of selecting a file or group of files for conversion and then the file to place the fax data into. This is shown in the following screens. Using this screen select the file of files as input to the conversion routine. You must select a filename to save the fax data into. This can be an existing file or a new file that is created. The conversion routing will now convert the file or files that you have selected and place the data in the output file. The output file will be in ExpressFax format. NOTE: The output file must have the extension .EXP and will be changed to this extension if different or not included. While the converter is running it will display the status using the following screen: VIEW/PRINT A FAX You can view and print a fax before it is sent, or after it is received. The view utility allows you to move around the fax to see all of the information. The view/print routine uses the following action keys: [F10] Exit the viewer. [Up Arrow] or [Down Arrow] The up and down arrow keys are used to slowly scroll the current page of the fax. [Home] or [End] The home and end keys move the view of the fax so that the top or the bottom is displayed. [PgUp] or [PgDn] The page change keys move through the fax a page at a time. [P] [R] [Z] [F] Brings up the Print menu, which allows you to print all or specified pages of the fax. Reverses the screen image. Zooms in for reading small text. Flips upside-down text. HARDWARE STATUS When Hardware Status is selected from the ExpressFax menu, the above screen shows specific information about the current connection involving the CAS resident manager. If no connection is currently active, the screen will be mainly clear, with Idle specified in the status section of the screen. During a connection, a user can abort the current CAS connection by pressing the [Del]. To/From These selections are taken either from the dialing directory Fax information window, or from the Change Fax Information menu. If you are not using the dialing directory, the Cover Page information can be completed to fill in this information. These names appear on the top of each page of the fax being sent. Event Type At the time of the printing of this manual, only Send and Receive events are supported by the CAS resident manager. Please refer to a CAS specification, available separately, for more information about other event types. Phone Number The exact phone number being dialed. Faxes created and sent from MTEZ will have intelligent area code checking, and the automatic dialing prefixes applied to the phone number. Fax Mode Shows the dots per inch that this fax is being sent in. Normal mode is 100 x 200 dpi, and Fine mode is 200 x 200 dpi. The resolution is selectable in the Fax Configuration menu, and is modifiable in the Cover Page information menu. Status This row gives the same information as is available from the ExpressFax menu. The status shows the current mode that the CAS resident manager is performing. Pages This line changes meaning according to the Event Type that is currently happening. During a send, this line will show you how many pages have been completed. During a receive, this line represents the page number received. File Name This line shows the filename being sent. The filename 165A0AEE.EXP was created by MTEZ automatically when the above fax was submitted from within MTEZ. Other CAS applications may allow you to specify the filename you are going to send, and this filename would appear in this position. Remote ID Shows the CSID (phone number) of the fax machine that you have connected to. Some fax machines do not support the CSID feature, so it may not be displayed. Connect Time Shows how long the current CAS connect has been happening. Bits Per Second Shows how fast the current fax connection is occurring. Fax machines vary from 9600 bps down to 4800 bps. The lowest fallback bps speed supported with fax is 2400 bps. 2400 bps usually happens when the two fax machines are incompatible or are on an extremely poor line. Min. Scan Time Shows the minimum scan time of the remote fax machine. This is useful only to show you how long a blank scan line will take. This value can range from 0 milliseconds to 40 milliseconds. Times Retried Shows how many times the current event has been retried. If the CAS manager does not connect with another fax machine, it will hang up and retry a user specifiable number of times. See the user SETUP program information for more details of this option. EXPRESSFAX CONFIGURATION When you run MTEZ and select ExpressFax for the first time MTEZ will bring up the fax configuration screen. This screen contains information about you and your preferred method of operation. The configuration can be changed at any time by accessing the ExpressFax Configuration from the fax operations menu. You have the ability to change most options on a fax by fax basis. This screen provides the default information. On the Configuration screen fill in your company name your name and the telephone number you receive faxes on. Resolutions For sending faxes, this is either Normal (200 x 100) or Fine (200 x 200). NOTE: Selecting Fine mode will normally take twice as long to send as the same fax in Normal mode, but it will give better output at the receiving fax machine Send Full Pages This is turned on if you want each page of the fax to be as long as specified in the page size. NOTE: If you turn Send Full Page on it will take longer to send faxes because the paper will need to be advanced and more data will be sent. Page Size This is the number of lines per page to send. The default is 66. It is used to automatically eject pages of text, and to specify the page length to fill for the "Send full pages" option. Cover Page This selection is set to on if you want ExpressFax to generate a cover page for your faxes. A cover page is an additional page added to the front of the fax transmission which includes information such as total number of pages, sender's name, recipient's name, etc.. See the View/Print a Fax Section 12 of this manual for a sample of this cover page. Center Graphics This is for the conversion routine. When a graphics picture is converted to fax format it can optionally be centered on the page. This does not affect signatures or letterhead. If set to "No" then the image is left justified. Left Margin This is the number of spaces in the left margin. A fax page is 100 characters wide. Since most text is only 80 characters wide you can set a left margin to center the text on the page. Include Letterhead This switch can be set to No, First Page, 2 Pages, or All Pages. If turned on this feature will read the letterhead from the specified letterhead file and merge it onto the document before being sent. Letterhead File This is the filename that contains a graphics image of your letterhead. There can be many different letterhead files on your disk. You can type in a filename or use [F4] to access a list. Template File This specifies the default template to be used when creating an ExpressFax note. The template file to be used can also be changed when selecting a file in the ExpressFax a Note option. Signature File This is the filename that contains a graphics image of your signature. There can be many different signature files on your disk. You can type in a filename or use [F4] to access a list. NOTE: The filename for letterhead filename must be in the format of LTR?????.PCX or LTR?????.TIF and the filenames for the signatures are SIG?????.PCX or SIG?????.TIF. Default Fax Dir This is used to select where the faxes you create, and the ones that you received, will be stored. Default Font This is used to select what font you want the text from a file to be printed in. The six possible fonts are: EXP-Roman, EXP-Swiss, EXP- Venice, EXP-Block, EXP-Dot Matrix, and CodePage Video. Codepage Support ExpressFax will search your path for the file EGA.CPI from your DOS disk. This file is used to support international character sets within your fax. If you are using DOS 3.1 or greater the codepage from the current country is used. (See the DOS manual for the COUNTRY= command, and other information concerning codepages). Printer Port Specify the LPT port which your printer is located on. Printer Select from the list of available printers. This selection is used in printing faxes. Mode Select from available modes for the printer selected. Delete EXP files To reduce the total amount of space used by ExpressFax on a day-to-day basis, setting this option to "Yes" will allow ExpressFax to delete the temporary fax files at the successful completion of a fax event. DIALING DIRECTORY Fax calls can be placed directly from the dialing directory, but first a fax entry must be made. You can bring up the dialing directory from the main menu with [Alt]-[D] combination or from within the ExpressFax system. The currently selected location in the MTEZ dialing directory will be used to modify the telephone number to send faxes. If the fax telephone number is in the XXX XXX XXXX format, then the location information is used to modify the telephone number and dial the fax machine. In order to add an entry to the dialing directory select the edit function on a blank entry. You will then fill in the Name and Telephone number. After entering the telephone number move to the Type field, press the [Space] until the word FAX appears. Note that the settings and logon disappear, this is because they do not apply. Pressing [ENTER] at this point brings up the Fax Recipient Information Screen. This is the Fax Recipient Information screen. From this screen you set some of the information used by ExpressFax to send a fax. The Company Name and Recipient Name are filled in here. If you use the dialing directory to place a fax call the default type of fax to be auto-selected is set here. This is also where the groups are selected. An entry can be placed in a group or groups from this screen. To assign a Fax Recipient to a group or groups from this screen. To assign a Fax Recipient to a group or groups, simply place the cursor next to a group you want to assign the Fax Recipient to and toggle with the [Space]. NOTE: When calls are placed form the dialing directory or from a group, the cover page information is pulled from the individual entry that is being called. The cover page information can be overridden by filling in the blank name/company name (groups) or the filled in name for an individual call. FILE SELECTION SCREEN This screen is used to select a group of files to make up a fax. The screen consists of four areas: drive and directory selection, file selection, selected file list, and filename entry line. The selection box comes up with the default directory displayed, you then use the cursor keys to select the file you wish to send and mark it with the [Space]. The [Tab] key is used to move between areas of the screen. [Space] from the main window selects individual files or [Space] on a directory changes to that directory. Filenames can be manually entered by tabbing to the filename entry area. This will add names to the -Selected- file list. The selected file list can contain a maximum of twelve (12) names. NOTE: If you want to select one file to send, just move the cursor to that file and press [ENTER]. This will select that file and move to the next step in the current process. When in the -Selected- file area the cursor keys are used to move up and down to show more information about each file selected. [Del] can be used to remove files from the list. When you are done selecting a group of files press [F10] and ExpressFax will continue with the selected function. The selected file list can be cleared by using the [Alt]-[C] combination. If you have selected a group of files and wish to leave to run another program ExpressFax saves the list for later use. If you move to the -Selected- file area with the [Tab] key another window will pop-up showing more information about each file in the list. By moving to the filespec area you can choose the drive and directory, and filespecs you wish displayed in the main area. Standard DOS wildcards are allowed in the filespec. If the path is too long to display it will be displayed in a compressed form with an ellipsis in the middle. GROUPS ExpressFax allows great flexibility in sending outgoing fax messages. You can simply enter a telephone number, select from the dialing directory or call group dialing. There are eight call groups to select from. Each FAX type entry in the dialing directory can be in any or all of the eight groups. When building dialing directory entries you decide which group or groups each entry will be a member of. See the section on the dialing directory for information on how this is done. When sending a fax, the first thing you are asked is the number you wish to call. ExpressFax brings up the following screen to allow destination selection. To use groups press [F5], which will list the available groups. From here you can select the group that you wish to call. By pressing [V] you can list the names in each group as shown below. Press [ENTER] when you have selected the group you wish to send your fax to. DATA BASE IMPORT Background ExpressFax can send faxes from a list of names and telephone numbers generated by other programs. This list must be a delimited ASCII file. This file is treated like the internal group send except the addressee name, company name, and telephone are taken from the data file. With the information provided ExpressFax will fill in the cover page information so that each fax will be personalized. The data file used for import is in the following format: "Fred Jones","MagicSoft, Inc.","708 953 2375" "Tom Harrold","MagicSoft, Inc.","708 953 2375" The rules for building the file are listed below. * Fields are separated by commas. * All double quotes in a field must be converted to single quotes. * The data field must be enclosed in double quotes. * Each record is terminated with a CR LF. This format is commonly called "Comma Delimited ASCII" or "Quote Command Quote ASCII". Most database and spreadsheet programs can output this type of file. Refer to the user manual for the specific program you are using for information on how to "export" files. Send Fax to List Once you have prepared the list of people to send to, and have written the fax you are ready to go. From the MTEZ ExpressFax menu select either "Send Fax Documents" or "ExpressFax a Note. The first screen to appear is the select a number to call screen. Instead of entering a telephone number type in an "@" symbol followed by the name of the file you would like to use and input, as it is shown in the following screen." This would call a group of names from the file called "FRED.DB" At this point ExpressFax operates in the same manner as if you had selected a group to send to. NOTIFY Notify is a separate utility from FAXMAN, but it works in conjunction with FAXMAN to give you periodic notification of fax events. The Notify utility is used by running it after FAXMAN has been loaded. C>\MTEZ>NOTIFY [ENTER] Fax Notification Once notify is loaded, each time a fax send or receive event begins a window will pop-up "notifying" you of the event. If you press [Esc] on the notify window, you will not be notified further about this send/ receive event, although it will again notify you on the next event. If you press [ENTER] on the notify window, the notify window will pop- down until there is new information about the current event. If you do not press any key, the notify information will update about the current event, and at its completion the notify window will pop-down. Data Notification (This option is not available in all versions). If a data call is answered by FAXMAN, and the notify option is loaded, notify will pop- up a window specifying that a possible data call has been answered. At the same time, an appropriate message is sent to the calling data modem. If [Esc] is pressed, the data call will be terminated. If [ENTER] is pressed, you are given 30 seconds to execute MTEZ with a /h (mini-host) parameter. C:\MTEZ>MTEZ /H [ENTER] The /H option will automatically run the MTEZ mini-host. POPUP PRINTER CAPTURE Does your editor or word processor support printing to a disk file? If it does not, you will have to use the POPPRINT program included on your ExpressFax diskette. After you have run the CAS manager (FAXMAN), you simply enter: C:\MTEZ>POPPRINT This will install a pop-up printer capture program on LPT1 (and PRN). The printer capture must be started (by pressing the hotkey) each time you wish to capture printed output. You must make sure that you select either straight ASCII output, or an FX-85 printer output. Once POPPRINT has been started (by pressing the hotkey) any characters which are sent to the printer will be "captured". Once the printing has completed a menu will "pop-up" giving you the following options: [P] Print what was just captured to the printer. This is useful if you really wanted to print the file. [S] Save the printed characters to a file. This will allow you to save the printed output to manipulate later. [F] Fax the captured character output. POPPRINT will ask for the phone number to fax this output to, and then convert the file and send it to the specified phone number. By pressing [F4] all of the FAX telephone numbers listed in your MTEZ dialing directory will be displayed for your to make your selection. [Esc]Continue capturing more output. By using the F option listed above, you can send a fax from any application which supports printer output. Popprint can be customized to your individual setup by entering a command line option when POPPRINT is started. The following is a list of the available command line options: POPPRINT ExpressFax Pop-Up Printer Capture 1.00.2705 Copyright 1991, 1992 MagicSoft, Inc. All Rights Reserved. POPPRINT [options] /AUTO Always Capture Printer Port (No Hotkey Required) /HOTKEY=x Specifies the Keyboard Layout for Hotkey 0=LShift-RShift (default) 1=Ctrl-LShift 2=Ctrl-RShift 3=Ctrl-Alt /LPTx Specify Printer LPT1-LPT4 (default=LPT1) /R Remove POPPRINT from Memory /TIMEOUT=x Specifies the Printer Timeout Value in Seconds (default=2 seconds) Popprint can be used with two user interfaces, /AUTO and /HOTKEY. /HOTKEY is the default method, you must press the hotkey sequence before POPPRINT will capture any printer output. Once the hotkey sequence is pressed, two short beeps will be heard. /AUTO makes POPPRINT always ready to capture output to the specified printer port. Since POPPRINT allows you to direct captured printer output to the printer, /AUTO always allows you to select what you want to do with printer output. Try the two interfaces and make you own selection. C:\MTEZ> POPPRINT /HOTKEY=2 C:\MTEZ> POPPRINT /AUTO The first command-line (above) will start POPPRINT with a Control, Right Shift hotkey. The second command-line (above) will always capture the printer output, and does not require a hotkey. Popprint can accept straight ASCII or FX-85 printer output. Make sure that you select one of these printer types before capturing with POPPRINT. FAX TEMPLATES There are several templates provided by MagicSoft for use in ExpressFax. These templates are for different cover pages and for ExpressFax. Included in this section is an outline of the text formatting commands which can be used by the conversion routine. These text formatting commands are similar to commands which are used by word processors to control text output. The default template can be specified from the configuration menu (See ExpressFax Configuration section of this manual). While using ExpressFax A Note, you can specify the template name when the file is first created; or you can press [F4] to bring up the available list. Text Formatting Commands The Following is a short list of the formatting commands and their functions. {bo text...} Bolds the text within the braces. {cursor} If the editor sees this, it will move the cursor to this location upon entry. {date} the date command will place the current date in the fax output. the date format follows CodePage standards for international date formats. {from} This is the name of the sender. {fromco} This is the sender's company name. {from#} This is the telephone number of the sender's receive fax machine. {grwait} Tells the converter to wait for a graphics image to be completely included before converting any more of the document. {it text} Italicizes the text within the braces. {large text...} Makes the text within the braces double wide. {merge filename} This will merge the named PCX file into the output stream. {re} This is the remarks field from the fax information page {rem} The rem command allows you to put remarks in the fax that are not sent. {sig} This will place the signature data in the fax output. {to} This is the recipient's name. {toco} This is the recipient's company name. {to#} This is the recipient's fax number. This is the number that will be called. {rev text...} Reverses the text within the braces in a solid bar. {ul text...} Underlines the text within the braces. NOTE: View the EXAMPLE.TXT for a complete list of these commands. In the viewer you can print the example page for future reference. UTILITIES There are several FAX utilities which are included with your ExpressFax program. Send a Fax You can send a fax directly from the DOS command line. CASSEND.EXE allows you to specify, at minimum, the filename and telephone number where to send a fax. The following is a listing of CASSEND's usage and optional parameters. Usage: CASSEND [switches] [@]filename phonenumber Where: filename is the file to send @filename specifies the filename containing a list of files phonenumber is the telephone number to call. switches: /res={fine,normal} Default=FINE /cols={80,132} =80 /type={ascii,pcx,dcx} =ASCII /cp= /logo= /nofile Coverpage ONLY, skip filename filename /from= Name fax is FROM /to= Name fax is TO /time=HHMMSS 24 hour clock /data=MMDDYY Converting DCX to PCX The DCX2PCX utility is included to help you convert a DCX file into multiple PCX files. Most paint programs can read PCX files, but very few can read DCX files. Usage: DCS2PCX fromname.dcx name Where: fromname.dcx is the file to convert name is up to a 4 character prefix for the PCX files. If FAX.DCX is a 4 page DCX file, and "DCX2PCX fax.dcx fred" is enter at the DOS prompt, then 4 files will be created. FRED01.PCX, FRED02.PCX, FRED03.PCX, FRED04.PCX. Automatic FAX printing If you wish to have your faxes automatically printed when you receive them, you can run NITELINE.EXE from the DOS prompt. This program will print your received faxes to the specified printer (from ExpressFax's configuration menu). Usage: NITELINE (no parameters) Aborting a FAX From the DOS prompt you can abort the current FAX event by entering: C:\MTEZ> ABORT [ENTER] To abort a FAX event from ExpressFax, simply press [Del] from the ExpressFax Menu or the Hardware Status screens. EXPRESSFAX ERROR MESSAGES Error (1) Requires DOS 3.0 or Greater. You do not have a version of DOS that is supported. Error (2) Device Specific Driver not Found. Usually because the fax hardware driver specified in SETUP.EXE can not be found. Make sure the ?.FXH file is in the directory. Error (3) Insufficient Memory to Load Overlay. Check memory levels. If you have EMS Usage line in SETUP.EXE is set to "Use if Available". Error (4) Overlay File FAXMAN.OVL not Found. Make sure that FAXMAN.OVL is available in the directory. Error (5) Overlay Init Error. Usually caused because the FAXMAN files were moved from one directory to another. If you move the FAXMAN files, you must delete FAXMAN.CFG and recreate it by re-running SETUP.EXE. Other reasons for this error include EXPFONT0.FNT not being available in the MTEZ directory. Error (6) CFG File Not Found. Your configuration file that you have specified to FAXMAN can not be found. It is possible that you have not yet run and saved the SETUP.EXE output. Error (8) Driver Already Installed. You have already run FAXMAN, and you can not have 2 copies running at the same time. Error (9) Cannot Remove, Driver not installed. You have specified FAXMAN /R, when FAXMAN has not yet been loaded. Error (10) Cannot Remove, Other TSR Installed. Another TSR has been loaded after FAXMAN which is utilizing some of the same resources, and FAXMAN can not be removed until the other TSR has been removed. Usually POPPRINT.EXE has been loaded after FAXMAN, and since they use the same CAS resources, you have to remove POPPRINT (POPPRINT /R) before FAXMAN can be removed. Error (11) Fax Modem Not Responding, Check Hardware. Either no modem is present, or it is currently OFF. An external modem, or an internal notebook modem can be turned off/on, make sure the modem is ON. Error (12) Modem Does Not have Fax Capabilities or Wrong Fax Modem Type. Either the modem specified in SETUP.EXE is not a fax modem, or it is not of the correct FAX type for the currently selected driver. (See Error 2) Error (106) Com Port and/or IRQ not found.
