Fax Modem (250-3581) Fax Tutorial Faxback Doc. # 5893 This chapter serves as a brief tutorial. It introduces you to many of BitFax's features and shows you how to send your first fax. STARTING BITFAX After installing BitFax, you are ready to start. If you modified your AUTOEXEC.BAT file, you can start BitFax from it's subdirectory. To start BitFax, type BITFAX and press [ENTER]. The Main Menu will appear. You can also start BitFax from the Communication Functions Menu. Before using BitFax, you need to check whether it is correctly configured for your system. Because the default settings will work with most modems, you will probably only need to make a few changes, if any. Open the Main Configuration Menu by selecting the Configuration command. There are two ways to choose this and other commands. You can press the Config function key, [F6], which is displayed at the bottom of the screen. Or you can press [Esc] and select the configuration command from the command Options pop-up menu. For now, you need to check only a few of the configuration options in this menu. "The Main Configuration Menu," explains each of these options in detail. The first thing to check is the Communication Port Field. Set this to your modem's COM Port. (If your modem is configured to COM 2, this field should be set to COM 2). To change this setting, press the up or down arrow key until you have highlighted the communication Port field. Then press the right or left arrow key to select the correct setting. If you are using a pulse-dial (rotary) phone line, use your up or down arrow key to highlight the dial Type field and use your left or right arrow key to select the Pulse Dial Option. Most phones use tone dial. If you are using a black-and-white (monochrome) monitor, press [F6]. NOTE: If you have Call Waiting and someone calls while you are sending a fax, you will get an error. To disable Call Waiting, enter "ATDT1170;' in the Dialing Prefix field. This will disable Call Waiting while you send a fax. After configuring BitFax, press [F10] to save your changes. CREATING A FAX BitFax includes a simple TXT editor called BitEdit. You can use this editor to write a note, memo, letter, etc. You can then send the document as a fax. BitFax also lets you send documents created by a word processor. For this tutorial, you will use BitEdit to create a registration fax, which will include your name, address and the version number of BitFax. Before opening BitEdit, note which version of BitFax you are using. The version number is located in the Main Menu and on the program disk. TO CREATE A REGISTRATION FAX WITH BITEDIT: 1. Press [F7] to open BitEdit. BitEdit will ask you to enter a file name. 2. Enter the file name REGISTER and press [ENTER]. The BitEdit screen will appear. 3. Enter the following information: DATE YOUR NAME YOUR ADDRESS YOUR TELEPHONE NUMBER (INCLUDING AREA CODE) The version of BitFax you are using (the version number is on the program disk). Your modem's brand name (or the computer with which it was purchased if you do not know). ADDITIONAL COMMENTS OR QUESTIONS ABOUT BITFAX. 4. Press [F2] to save the file. 5. Press [F10] to close BitEdit. You will see REGISTER.TXT in the File Name Field of the Main Menu. CREATING A PHONE BOOK RECORD After creating your registration fax, the next step is to address it. The easiest and fastest way to address a fax is with BitFax's phone book. The phone book (or FaxBook) stores the names and phone numbers of people whom you frequently send faxes to. TO ADD A PHONE BOOK RECORD 1. Press [F4] to open the Destination Selection Menu. BitFax will ask if you want to create a FaxBook. 2. Press [Y]. The Destination Selection Menu will appear. This is BitFax's phone book. 3. Press [F5] to add a record. BitFax will prompt you for a name, a fax number, a group number and a description. In the Name Field, enter REGISTRATION. In the Company Field, enter BIT SOFTWARE INC. In the Description Field, enter A REGISTRATION FAX. Leave the Group Field blank. In the Fax number Field, enter 1 (510) 490-2939. 4. Press [F10] to save the record and return to the Destination Selection Menu. You will see the new BIT Software record. 5. Select the BIT Software record by pressing [ENTER] while it is highlighted. A small triangle will appear to the left of the record, indicating that you have selected it. 6. Press [F10] to return to the Main Menu. You will see BIT Software's fax number in the Fax Number Field. SENDING A FAX You are now ready to send your first fax. Leave that Start Page and End Page fields at their defaults of 1 and 255, respectively. Only change these settings when you want to send a portion of a multipage fax. The File Type Field indicates what kind of file you are sending. You cannot change this field. TO SEND YOUR REGISTRATION FAX: 1. Press [F2]. The Cover Page Editor will appear. 2. Fill in the cover Page. Use your up and down arrow keys to move from field to field. BitFax automatically fills in the To field, extracting the information from the phone book record you selected from the Destination Selection Menu. In the Logo File: field, you can enter the name and path of your company logo or another graphic. Leave this field blank for now. 3. Press [F2] to save the information you entered and continue sending the fax. Next, a dialog box will ask whether you want to preview your fax before BitFax sends it. 4. Press [Y] to preview your fax. After a few moments, the image of what the fax will look like will appear on your screen, showing you any page breaks, graphics or merged text. You can use your arrow keys to scroll through the image. You can also press [F2] to zoom in and out of the image. 5. Press [F10] to continue send. The image of the cover page will appear. 6. Press [F10] again. A dialog box will appear showing you the status of the transmission. After BitFax finishes sending the fax, a message will appear in the lower-right corner indicating that BitFax is saving the fax to a file named REGISTER.BFX. 7. Press any key to return to the Main Menu. CHECKING YOUR TRANSMISSION After you send a fax, BitFax creates a record of the transmission in the Transmit Log Menu. To open the Transmit Log, press [F9] from the Main Menu. The Transmit Log Menu will appear. The Transmit Log record the date and time of the transmission, the fax number, the name of the file, the number of pages, the duration of the transmission, and the result of the transmission.
