TAD-510 (430-0750) Operation Faxback Doc. # 6318 RECORDING THE OUTGOING ANNOUNCEMENT Before you set the TAD to answer calls, record the announcement that the callers hear when the TAD answers their calls. We recommend you write down your announcement before you record it. If you plan to record messages, ask for the caller's name, phone number, and message. If you record an announcement you will use for announce-only, the announcement should tell callers they cannot leave a message. Warning: Do not tell callers that you are not home. Instead, say that you cannot come to the phone at this time. To record the outgoing announcement, follow these steps. 1. If the TAD is not in the stop mode, press STOP. Then press and hold down ANNOUNCE PLAY/RECORD at the right of the TAD. 2. When the ANSWER indicator flashes rapidly, release ANNOUNCE PLAY/RECORD. The outgoing announcement tape rewinds to the beginning if it is not already there. Then a long beep sounds, the ANSWER indicator stops flashes and lights steady, and recording begins. 3. Speak in a strong voice within 6 inches of the microphone, located on the front right of the TAD. The supplied outgoing announcement tape can record an announcement up to 30 seconds long. The TAD automatically sets the recording level. Note: If you use music as part of your outgoing announcement and have a problem recording the announcement, record it without music. 4. Press STOP when you finish recording. A beep sounds and the TAD prepares the outgoing announcement tape for playback. Note: If the TAD reaches the end of the tape during recording, the tape stops, 8 beeps sound, the tape rewinds to the beginning, and the TAD enters the stop mode. The ANSWER indicator continually flashes three times to indicate an error. Press STOP to turn off the ANSWER indicator and re-cord the outgoing announcement. CHECKING THE OUTGOING ANNOUNCEMENT To check the outgoing announcement, be sure the TAD is in the stop mode. Then press ANNOUNCE PLAY/RECORD. The TAD plays the announcement. Adjust VOLUME as needed. When the announcement ends, the tape stops and then rewinds and the TAD stops. Note: If there is a pause of 2 seconds or more in the outgoing announcement, the TAD recognizes it as the end of the announcement and stops at the pause when playing back the announcement. SETTING THE TAD TO ANSWER CALLS After you record your outgoing announcement, set the TAD to answer calls. Announce and Record You must install both cassettes before the TAD can answer and record calls. To set the TAD to answer calls, press ANSWER when the TAD is stopped. The ANSWER indicator flashes rapidly while the outgoing announcement tape rewinds to the beginning. When the tape stops, the ANSWER indicator lights steadily and the TAD sounds a long beep to indicate the TAD is ready to answer calls. Note: If you remove the incoming message cassette when the TAD is in the answer-and-record mode, the TAD sounds two short beeps and enters the announce-only mode. To exit the answer and record mode, press STOP. The ANSWER indicator turns off. Announce Only If you want to play the announcement without recording messages, install only the outgoing announcement cassette. To set the TAD to answer calls, press ANSWER when the TAD is stopped. The ANSWER indicator flashes rapidly while the outgoing announcement tape rewinds to the beginning. When the tape stops, the ANSWER indicator lights steadily and two short beeps sound to indicate the TAD is ready to answer calls. Note: If you install the incoming message cassette when the TAD is in the announce-only mode, the TAD sounds a long beep and automatically enters the answer-and-record mode. To exit the announce-only mode, press STOP. The ANSWER indicator turns off. From a Remote Location While you are away from home, you can call the TAD and set it to answer calls if power is supplied to the TAD, the TAD is stopped, and at least the outgoing announcement cassette is installed. To set the TAD to answer calls, call the TAD and let it ring until it answers (after about 1 minute and 15 seconds). When the TAD answers, hang up the phone. The TAD is now ready to answer calls. Note: If no outgoing announcement cassette is installed, the TAD pauses, sounds eight beeps, and hangs up. ANSWERING CALLS When a call comes in, the TAD answers on the second ring. Then the outgoing announcement plays. At the end of the announcement, a beep sounds. If both cassettes are installed, the TAD begins recording the caller's message. The message can be up to 60 seconds long. If the caller hangs up before 60 seconds have passed, or if there is a 7- second period of silence or steady or repeated tone during recording, the TAD resets for the next call. At the end of the 60-or 7-second period, the TAD sounds a beep, stops recording, and resets to answer the next call. The TAD records the beep on the incoming message tape. If only the outgoing announcement cassette is installed when a call comes in, the TAD sounds a beep after the out announcement plays and resets to answer the next call. The MESSAGE indicator shows you how many new messages you received by the number of times the indicator flashes. For example, if you receive two new messages, the indicator flashes twice, pauses, flashes twice again, and so on. If you receive six or more new messages, the indicator flashes continuously. If the incoming message tape reaches the end during recording, the TAD stops the tape, sounds eight beeps, and hangs up. The TAD does not answer any more calls. The ANSWER indicator flashes rapidly. PLAYING MESSAGES The TAD separates incoming messages into two groups: new and old. The new message group consists of messages you have not heard. The old message group consists of messages you have already heard. When you play back all your new messages and reset the TAD to answer calls, all the messages become part of the old message group. Playing New Messages The MESSAGE indicator flashes after the TAD records at least one new message. To play the message(s), press Play/FAST-F. To stop the tape any time during playback, press STOP. To listen to the remaining new messages, press PLAY/FAST-F again. After all new messages play, three beeps sound, the TAD stops, and the MESSAGE indicator turns off. To review or cue a message, press and hold REWIND or PLAY/FAST-F during playback to find the desired message. Then release the button to resume normal playback. Notes: If the tape stops during rewind or review and the TAD sounds three beeps, the tape is at the beginning of the new messages. If the tape stops during playback or cue and the TAD sounds three beeps, the tape is at the end of the last new message. If you do not listen to or cue through all the new messages, they remain part of the new message group and the MESSAGE indicator continues to flash. If you skip new messages during playback but play the last new message, the TAD functions as though all new messages have been played. (The MESSAGE indicator turns off and all messages become part of the old message group.) This TAD does not perform a standard fast-forward function. If you want to quickly advance the tape, press and hold down PLAY/FAST-F. Then release the button when you reach the desired point on the tape. Playing Old Messages To replay messages you have already heard, press STOP to exit the answer mode. Then press REWIND to rewind to the beginning of the tape and press PLAY/FAST-F. Note: If the TAD sounds three beeps after the tape rewinds, the tape is at the beginning of the new messages. Press REWIND again to rewind the tape to the beginning. To review or cue a certain section of the tape, press and hold REWIND or PLAY/FAST-F during playback to find the desired section. Then release the button to resume playback. Note: If the TAD is without AC power for more than 12 hours, or if you remove the incoming message cassette, the TAD loses all message grouping information and all messages become part of the old message group. Resetting the TAD to answer Calls To continue recording new messages from the current tape position after you have played all the messages, press ANSWER. To record new messages over the old messages, press REWIND while the TAD is stopped. (If the TAD sounds three beeps when the tape stops. press REWIND again.) When the tape reaches the beginning, press ANSWER. Note: If you reset the TAD without playing all the new messages, all messages remain part of the new message group. ERASING THE INCOMING MESSAGE TAPE You can erase messages by rewinding the tape and recording over the messages. Or, you can rewind and erase the tape at the same time, as described below. 1. Play or cue the tape to the end of the last message you want to erase. 2. Press and hold STOP. 3. While holding STOP, press REWIND. 4. When the tape begins rewinding, release both buttons. The TAD automatically erases the tape to the beginning. When the tape reaches the beginning, the TAD stops. You can press ANSWER to reset the TAD to answer calls while the tape rewinds and erases. SCREENING CALLS When a caller leaves a message on the TAD, you can hear the message through the TAD's speaker. If you want to speak to the caller, pick up the phone and talk. The TAD automatically resets to answer the next call. If you do not want speak to the caller, let the TAD continue to record the caller's message. USING AN EXTENSION PHONE You can answer an incoming call from any extension phone that is connected to the same phone line as the TAD. If you pick up the phone while the TAD is answering, the TAD automatically stops and resets to answer the next call. MEMORY BACK-UP The TAD backs up the current answer mode, the message counter, and message grouping information for up to 12 hours during a power failure or while the power adapter is unplugged. When power is restored to the TAD, the following occurs: If the TAD has been without power for more than 12 hours, it stops. The TAD loses the message grouping information. If the TAD has been without power for less than 12 hours, and was in the answer mode before the power failure, the outgoing announcement tape rewinds to the beginning. The TAD re-enters the answer mode and the ANSWER indicator turns on. The MESSAGE indicator flashes if there are any unplayed messages on the incoming message tape, and the incoming message tape winds to the end of the last new message. (LB/smc-05/05/94)
